Privacy Policy
Effective September 2026.
Sweat House Gym ("Sweat House," "we") operates the gym at 300 First Ave W, Kalispell, MT 59901 and the website at sweathousegym.com. This policy describes what personal information we collect from members and visitors, how we use it, and the choices you have. Questions go to the front desk or (406) 752-2438.
Information we collect
Membership and account data
When you join, we collect your name, contact details (email, phone, mailing address), date of birth, emergency contact, and your signed membership agreement and waiver. Class bookings, check-ins, and keycard entry times are recorded so 24/7 access works and so we can staff and schedule sensibly.
Payment data
Membership billing and online signup are processed by Mindbody, our club-management platform. Your card or bank details are entered into and stored by Mindbody's payment systems, Sweat House staff do not see or store full card numbers. Mindbody's own privacy policy governs its processing; we see transaction status (paid, declined, refunded), not credentials.
Health-adjacent information
Anything you volunteer to a coach (an injury note, a training goal, a PT referral) stays within the coaching staff and, where relevant, the Milestone Functional Restoration clinical team. Milestone is an independent practice; medical records they hold are governed by their own policies and by law, not by this one.
Website data
We don't run advertising trackers and we don't sell or share what you do here.
We count visits with Cloudflare Web Analytics, which tells us how many people read each page and roughly where they came from. It sets no cookies, stores no identifier for you, and cannot follow you to any other website. We see totals, never a person.
Some of what we embed collects more than we do, and you should know what it is. The class schedule on our booking page is a Mindbody widget, and it loads Google Analytics. That sets a cookie on this website's own address that lasts up to two years. It is Mindbody's measurement, not ours, and we see none of it. The signup and lead forms load Mindbody's own product analytics and error monitoring for the same reason. All of it belongs to Mindbody and is covered by Mindbody's privacy policy.
The map at the bottom of every page is a Google Maps embed, so loading any page here tells Google your IP address and which page you were on. Our display typeface is served by Adobe Fonts, which sees the same. Our hosting provider (Cloudflare) logs standard request data (IP address, user agent) for security and performance.
You can block all of it with any content blocker without losing the pages themselves. Booking and account creation will stop working, because those are Mindbody.
Video on the premises, notice
The training areas and entrances are recorded by video cameras 24 hours a day. Because the gym is open around the clock and often unstaffed, cameras are how we keep members safe and the facility secure. Specifically:
- Cameras cover entrances, the training areas, and common areas. There are no cameras in locker rooms or restrooms. Ever.
- Footage is used for security, incident review (injuries, theft, access misuse), and facility operations.
- We may use video analytics to measure aggregate, anonymous usage (how busy the gym is at 6 a.m., which zones get used) to plan equipment and staffing. Any such analytics are about counts and patterns, not about identifying or profiling individual members, and are never used to score, rank, or market to you individually.
- Recordings are retained for a limited operational window and then overwritten, except where an incident requires preserving a clip.
- Footage is disclosed outside the gym only to law enforcement with a lawful request, to our insurer for a claim, or as required by law. We do not sell or share footage otherwise.
How we use information
- Running your membership: access, billing, bookings, waivers
- Safety: emergency contact use, incident response, video security
- Communication: billing notices, schedule changes, closures, and, only if you opt in, news and promotions
- Operations: aggregate stats on visits, class fill rates, and equipment usage
What we don't do
- We do not sell personal information. Not to anyone, not ever.
- We do not share member lists with advertisers or data brokers.
- We do not use camera footage to identify, profile, or market to individual members.
Service providers
We use a small set of providers to run the business: Mindbody (club management, payments, scheduling, member app), Cloudflare (website hosting), and our door-access system vendor. Each receives only what it needs for its job and is bound by its own privacy terms.
Two more reach you through the website rather than through us: Google (the map on every page, and the analytics Mindbody's booking widget loads) and Adobe (the display typeface). Neither is given anything by us; they see what any embedded resource sees, which is your IP address and the page you were reading.
Mindbody's widgets bring their own suppliers with them. On the pages that carry one, your browser also contacts Google Tag Manager and Google Analytics, Mixpanel, Pendo, New Relic, LaunchDarkly and Amazon Web Services, and Mindbody's forms run a browser fingerprinting library called FingerprintJS. Each sees your IP address and the page you were on; the fingerprinting one builds a signature of your browser to recognise it again. All of that is Mindbody's, chosen by Mindbody, and governed by Mindbody's privacy policy rather than by this one.
We are telling you because it is happening on our address and you cannot see it. This list is what a browser actually contacted on 2 September 2026; Mindbody can change it without telling us, so treat it as accurate rather than permanent.
Your choices
- You can review and update your membership details at the front desk or in the member app.
- You can opt out of promotional messages at any time; operational notices (billing, closures) continue while you're a member.
- You can request a copy of the personal information we hold about you, or ask us to delete what we're not legally required to keep, by contacting the front desk.
Minors
Members under 18 require a parent or guardian on the agreement, and we collect the guardian's information as part of it.
Children in childcare
To register a child for childcare we take their first and last name, their date of birth, who is allowed to collect them, and any allergy or medical note you want the attendant to have. We ask to see your child's routine immunization record when you register.
We look at the immunization record and note that we have seen it. We do not photograph it, scan it, upload it, or keep a copy. The record goes home with you the same day.
What we do keep is the registration itself and the log of which visits your child attended, because a room with a cap of eight and a rule about parents staying in the building has to be able to say who was in it. That record lives in our club-management system alongside your membership and is visible to the childcare attendants and the front desk. Nobody else sees it, we never use it for marketing, and we do not share it with anyone outside the gym unless the law requires it.
We keep it while your child is registered and for as long afterwards as our insurer requires. Ask at the front desk to see what we hold about your child, to correct it, or to have it deleted, and we will do it.
Changes
If this policy changes materially (new cameras, new analytics, a new platform), we'll post the update here and note it at the front desk before it takes effect.
